Job Title: Basic Needs Intake Supervisor
Hours of Work:40 hours per week Monday-Friday 8:30 am - 5:00 pm. Following the initial onboarding period, this position may offer a hybrid schedule. Regular and timely attendance is an essential function of this job. Available in person 12-4:30 pm Mon-Fri during lobby open hours for responding to participants

Supervision:
Supervisors are responsible for hiring, training, and evaluating supervised positions consistent with EFAA policies and procedures including annual evaluations and professional development plans for staff members. Documentation and paperwork related to supervisor responsibilities (hiring documents, compensation sheets, timesheets/absence reports, evaluations) completed in a timely and accurate manner.

Position Summary
The Basic Needs Intake Supervisor serves as the subject matter expert for the full scope of Basic Needs Intake processes and leveraging technology to improve processes. This includes but is not limited to: Online Financial Help form maintenance and submission, screening for eligibility aligned with EFAA’s program criteria, document requirements aligned with EFAA’s program and accounting protocols, developing and integrating the scheduling systems, direct financial assistance review and control processes for vouchers, any post appointment steps, check issuance).
Essential Functions
•Manage the intake process for Basic Need’s participants, ensuring a smooth, welcoming, and efficient experience from beginning to end. This role goes beyond basic intake tasks, taking ownership of eligibility screenings, scheduling, and tracking and analyzing results to improve processes.
•Lead process management and continuous improvement efforts to ensure the efficient and effective functioning of the BN’s systems, including maintaining, documenting, and improving intake processes.
•Collaboratively identify and track trends, bringing the Basic Needs Program Manager potential solutions.
•Supervise the BN Intake Team and collaborate with other staff to improve the overall participant experience.
•Perform the functions of the Basic Needs Intake Associate.
•Working in tandem with the Basic Needs Supervisor, ensure that any system changes are integrated into the Basic Needs Resource Navigator’s workflow.
•Cross-collaboration with including Family Housing Navigator (screened & scheduled by the Basic Needs Intake staff), Basic Needs Team, Front Desk Supervisor and others.
•Maintain, edit, and implement the next phase of EFAA’s “Online Financial Help Request Form” via JotForm. Partner with Tech support (contractor, JotForm support, external IT team) for high-level tech enhancements to the process.
•Some evening hours may be required on occasion for coverage purposes.

Required Skills/Competencies
•Verbal and Written Spanish and English language proficiency
•Bachelor’s degree in relevant field of study (social work, sociology, criminal justice, etc.) or relevant experience
•Minimum of two years in a leadership role, and minimum of two years working within and/or managing online systems
•Strong proficiency in MS Office (Word, Excel, Outlook) and Microsoft Teams
•Strong computer and database proficiency including experience working in online form tools
•Prior experience developing and documenting standard operating procedures
•Technologically savvy, quick to learn new systems, and able to adapt to evolving tools and workflows
•Demonstrated experience identifying inefficiencies in processes and taking initiative to implement improvements
•Strong teamwork, and collaboration to ensure a seamless participant experience and efficient program operations
•Ability to effectively communicate with participants in high stress situations, and help them navigate a next step
•Ability to think strategically about short term and long-term change
•Ability to think on your feet, leverage existing processes, and make real-time decisions.
•Excellent communication skills with the ability to communicate and work effectively with a wide variety of people
•Experience working with people with diverse backgrounds and cultures
•Ability to maintain a high degree of confidentiality
•Ability to establish priorities in an environment of competing demands
•Attention to detail and the ability to manage multiple projects concurrently

Preferred Qualifications
•Minimum of three years of case management experience with underserved or vulnerable populations
•Intermediate to advanced skill in designing and operating online forms, such as Jotform, Microsoft or Google Forms, Smartsheet, etc.
•Experience in strengths-based / client-centered modality
•1-2 years of supervisory or other relevant leadership experience
•Knowledge of Boulder County resources
Working Environment, Physical Activities and Equipment Used:
Typical office environment. Regularly uses computers for data input and other work.
Compensation
This is a full-time position, 40 hours per week. The salary range for this position is $63,000 to $67,000 annually. Competitive pay commensurate with education and experience.
